How Archery IT (Pty) Ltd collects, uses and protects personal information, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
Last updated: 22 October 2026 (notice version 2026-10-22).
1. Who we are
Archery IT (Pty) Ltd (registration no. 2022/362767/07), 9 Weseinde Street, Moorreesburg, Western Cape, 7310, is the responsible party for personal information collected through this website. Contact: admin@archeryit.co.za, +27 72 969 9974.
2. What we collect
- Enquiries and quotation requests: your name, organisation, e-mail address, phone number, preferred contact method, town or city, and the answers you give about your matter.
- Orders: billing name, organisation, e-mail, phone, VAT number and address, and the products ordered. Payments are processed by PayFast; we never receive or store card numbers or CVV codes.
- Technical information: a keyed hash of your IP address (not the address itself) to prevent abuse, and server logs needed to keep the site secure.
- How the website is used: the pages viewed, how you arrived (the referring website or campaign), your device type, browser and operating system, the time pages were open, and actions such as starting a quote or clicking our phone number. This is recorded without cookies and without storing your IP address: each visitor is counted with an anonymous code made with a key that is replaced every day and then deleted, so visits can’t be linked across days or traced back to you.
- One essential cookie (
ait_sid) that keeps forms secure and remembers your cart. We do not use advertising or tracking cookies.
We ask you not to send passwords, wallet recovery phrases, private keys, identity numbers or evidence through the website. Forms are designed to refuse recovery phrases and private keys.
3. Why we use it
- To respond to your enquiry and prepare quotations (with your consent and to take steps towards a contract).
- To process and fulfil orders, issue tax invoices and meet legal and tax obligations.
- To protect the website and our clients against fraud and abuse (legitimate interest).
- To understand how the website is used and improve it, using anonymous statistics only (legitimate interest).
We do not sell personal information and do not send direct marketing without your separate consent.
4. Who we share it with
- PayFast (payment processing) for online orders.
- Our website hosting and e-mail service provider, GoDaddy, under confidentiality obligations. Our website is hosted by GoDaddy (Host Europe GmbH) on servers in Strasbourg, France, in the European Union, and our e-mail is provided by GoDaddy. Information you send through this website is therefore stored outside South Africa, under data-protection law (the EU’s GDPR) that offers protection comparable to POPIA (section 72).
- Professional advisers, regulators or law enforcement where the law requires it.
5. How long we keep it
Enquiries that do not become engagements are anonymised 24 months after they are closed. Order and invoice records are kept for at least five years to meet tax record-keeping requirements. Stored copies of e-mails are cleared after 90 days. Anonymous website-usage records are deleted after 25 months. Case files and forensic evidence are kept for the period agreed in each mandate, then returned to the client or securely destroyed.
6. How we protect it
Encrypted connections (HTTPS), access-controlled administration with strong passwords and optional two-factor authentication, a tamper-evident audit log, least-privilege database access, regular backups and security monitoring of the website.
7. Your rights
You may ask whether we hold personal information about you, request a copy, ask us to correct or delete it, or object to its use, by e-mailing admin@archeryit.co.za. You may also lodge a complaint with the Information Regulator (South Africa): inforegulator.org.za. Our PAIA manual is available on request from admin@archeryit.co.za.
